Document Control Administrator for Construction Support Services

POSITION SUMMARY

The Document Control Administrator for Construction Support Services (CSS) will be required to report to a Program Management Office in downtown Los Angeles, CA. The individual we seek should be skilled in the use of Project Management Information System and Microsoft Office applications to complete their day-to-day tasks. They should be able to communicate well with a large team in order to coordinate and complete multiple responsibilities on a deadline.

ESSENTIAL FUNCTIONS

  • The control, scanning, indexing, linking, electronic filing and distribution of documents in e-Builder, SharePoint or other Project Management Information Systems. This includes internal and external to project participants distribution of correspondence, technical submittals, project reports, Requests for Information, and contract plans and specifications and all other correspondence and information.  
  • Prepare transmittals, distribute documents, and retrieve documents.  
  • Assist the Project Director and the Project Team including CSS Team, Client, Engineer/Architect (E/A) and Construction Manager/ General Contractor (CM/GC) in all matters relative to project documents and the control and distribution of documents.  
  • Process project documents and maintain document control files in accordance with project document control procedures. Document Control Support encompasses both electronic and hard copy distribution and filing. Responsibilities include establish and maintain files; receive, index and scan documents. Types of project documents include correspondence, progress reports, invoicing, design submittals, design reviews, agency submittals, meeting minutes, reports, field memos, submittals, drawing log, safety notices, RFIs, and photos, etc.  
  • Collaborate with the CSS and Client team to catalog drawings packages and bulletins in PMIS and company network.  
  • Manage the handling, storage, and distribution of Protected Information. 

REQUIRED BACKGROUND AND SKILLS

PREVIOUS WORK EXPERIENCE AND KNOWLEDGE OBTAINED
  • Prefer a minimum five (5) years of experience with document processing and data management  
  • Microsoft Office Suite of software is required. Expertise in Excel required. Experience with Bluebeam/Adobe Acrobat is required.  
  • Experience with implementation and utilization of Document Control Software is preferred, experience with e-Builder is highly desirable.  
  • Demonstrated experience with routine Document Control hardware and software, such as scanners and copiers.
EDUCATION, CERTIFICATIONS, FORMAL TRAINING

Associate Degree or equivalent in Business, Accounting, or Administration with two years of related experience or an equivalent combination of education and experience.

Candidates who reside locally in the Los Angeles, CA area are preferred.
